Where leads come from
Every route a new name takes into your book — your own website, an open house, and the portals — and the one address that makes Zillow and Realtor.com file themselves.
Wherever a lead arrives from, the same thing happens: a client record is created or updated, a conversation is opened, the source is recorded, and you are told.

Portal leads, filed automatically
Zillow and Realtor.com send lead notifications to your email. Those emails can come here instead — or as well — and file themselves.
- Open Workspace → Communications and turn on lead intake.
- Copy the address it gives you. It is unique to your workspace.
- In the portal’s own settings, add that address as a lead recipient. Or set up a forwarding rule in your email that sends those notifications on to it.
From then on, a portal lead becomes a client record, a conversation, and a notice to you — without you retyping a name off a phone screen.
What is read out of the email
Only what the email actually says: the name, the email address, the phone number, the property they asked about, and their message. Nothing is guessed or filled in.
If an email arrives that the app cannot find a person in — an unfamiliar format, a notification with no contact details — it is passed to you unchanged and marked as not understood. A hollow client record with no name and no address is worse than no record, so it is never created.
Replying
Reply to the notice from your ordinary email and it goes to the lead, from your workspace address, and is filed on their conversation. You do not have to be in the app to answer a lead in three minutes.
Turning it off, and back on
Turning intake off stops the address working. Turning it back on gives you a fresh address — the old one may still be sitting in a portal’s settings, and an address you have switched off should stay off.
